This privacy notice explains how Direct Tuition Limited, trading as Mathinar, collects, uses, stores and shares personal information. It applies to our websites, landing pages, tuition services, courses, assessments, booking forms and communications.

Direct Tuition Limited, trading as Mathinar, is the controller of the personal information described in this notice.

In this notice, “Mathinar”, “we”, “us” and “our” refer to Direct Tuition Limited.

2. The information we collect

Depending on how you use our services, we may collect:

Parent, guardian and customer information

  • Name, email address, telephone number and postal address.

  • Booking details, availability, correspondence and communication preferences.

  • Account, purchase, subscription, invoice and payment information. Full payment-card details are normally processed by our payment providers rather than stored by Mathinar.

  • Marketing choices and records of consent or opt-out requests.

Student information

  • Name, age or year group, school, exam board, tier, current or target grade and subjects studied.

  • Assessment answers, diagnostic results, academic strengths and areas for development.

  • Lesson attendance, participation, homework, feedback and progress information.

  • Information a parent, guardian or student chooses to provide that is relevant to tuition or an appointment.

We aim to collect only the student information that is reasonably necessary to provide and improve our educational services. We do not use children’s information to send direct marketing to children.

If a parent or guardian voluntarily provides sensitive information, such as information about a health condition, disability or special educational need, we use it only where it is relevant to supporting the student and where we have an appropriate lawful basis and condition to do so.

Website and technical information

  • IP address, browser, device, operating system and approximate location.

  • Pages visited, links or buttons selected, referring website, dates and times of visits and advertising identifiers.

  • Information collected through cookies, pixels and similar technologies, subject to applicable consent requirements.

3. How we collect information

We collect information:

  • Directly from parents, guardians, students and customers through forms, bookings, purchases, assessments, emails, telephone calls and lessons.

  • From a parent or guardian on behalf of a child.

  • Automatically when someone uses our websites or landing pages.

  • From service providers that help us operate our websites, courses, communications, advertising, payments and booking systems.

  • From publicly available sources or referral partners where lawful and appropriate.

4. Why we use information and our lawful bases

We use personal information for the following purposes:

To provide tuition, courses, assessments and appointments

This includes arranging a readiness review, delivering lessons, providing feedback, monitoring progress, managing access to materials and communicating about the service. We generally rely on taking steps at your request before entering a contract, performing a contract, and our legitimate interests in providing effective educational services.

To manage accounts, bookings, payments and business records

We use information to administer accounts and subscriptions, process or reconcile payments, issue invoices, manage cancellations or rescheduling, prevent fraud and keep appropriate financial records. We rely on contract, legitimate interests and legal obligations.

To communicate about a service

We may send necessary service communications such as booking confirmations, appointment reminders, timetable changes, account notices and responses to enquiries. These are not promotional messages. We rely on contract, steps taken at your request and our legitimate interests in administering the requested service.

To improve and protect our services

We may analyse how our websites, assessments and services are used, troubleshoot problems, maintain security and improve teaching materials and customer experience. We rely on our legitimate interests, while taking account of the rights and interests of parents and children.

To send marketing

Where permitted, we may send parents, guardians or adult customers information about Mathinar tuition, courses, resources and offers. We rely on consent where required and, in limited circumstances, legitimate interests or the electronic-marketing “soft opt-in” where legally available. You can opt out at any time using the unsubscribe link or by contacting us.

To measure advertising

With the required consent, we may use advertising and analytics technologies, including the Meta Pixel, to measure visits, understand whether advertising leads to bookings and improve advertising. We rely on consent where required for non-essential cookies or similar technologies.

To comply with law and protect rights

We may use or disclose information where necessary to comply with legal duties, respond to lawful requests, establish or defend legal claims, protect safety, or prevent misuse of our services.

5. Children’s information

Our services are intended to be arranged or purchased by a parent, guardian or adult student. When a booking or enquiry concerns a child, we ask the parent or guardian to provide the information and confirm their relationship to the child where appropriate.

We take particular care with children’s information. We consider the child’s best interests, limit collection to what is reasonably necessary, use clear explanations and apply appropriate safeguards. Parents and children may have data-protection rights in relation to the child’s information, depending on the child’s age and understanding.

6. Cookies, Meta Pixel and similar technologies

Our websites and landing pages may use:

  • Essential cookies required for security, login, purchases, page operation and user preferences.

  • Functional cookies that support website features.

  • Analytics technologies that help us understand use of our services.

  • Advertising technologies, including the Meta Pixel, that help us measure advertising and create relevant advertising audiences.

Meta may receive technical information such as browser or device information, page activity and advertising identifiers when its technology is active. We do not intentionally send a student’s name, assessment answers or academic information to Meta.

Where consent is required, we ask for consent before using non-essential cookies or similar technologies. You may also control cookies using the settings offered on the relevant website and in your browser. Disabling some cookies may affect how parts of the website function.

7. Who we share information with

We do not sell personal information.

We may share limited information with trusted service providers where necessary to operate Mathinar, including:

  • Kajabi, which supports parts of our website, courses, customer accounts and communications.

  • Genie AI and the underlying LeadConnector/HighLevel platform, which support customer relationship management, forms, calendars, bookings and communications.

  • Payment processors and banking providers used to process transactions.

  • Email, telephone, webinar, video, cloud-storage and communications providers, including WhatsApp where a person chooses that channel.

  • Advertising and analytics providers, including Meta, where the relevant technology is used and consent requirements are met.

  • Professional advisers, insurers, accountants and IT or security providers.

  • Regulators, law-enforcement bodies, courts or other authorities where disclosure is required or permitted by law.

Providers acting on our behalf may use information only to provide their contracted services and must protect it appropriately.

8. International transfers

Some providers may process information outside the United Kingdom. Where personal information is transferred internationally, we use appropriate safeguards as required by data-protection law. These may include UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another lawful safeguard.

9. How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, safeguarding and dispute-resolution requirements. Our general retention approach is:

  • Enquiries and readiness-review bookings that do not become customers: normally up to 24 months after the last meaningful contact.

  • Tuition, course, account and student-progress records: while the service is active and normally for up to three years afterwards, unless a longer period is reasonably required.

  • Contracts, invoices, payment and accounting records: normally six years after the relevant financial period or transaction.

  • Marketing records: until consent is withdrawn, an objection is made, or the information is no longer reasonably needed. We may retain a minimal suppression record so that we respect an opt-out.

  • Cookie and advertising data: according to the lifetime of the relevant cookie and the retention settings of the platform involved.

We may retain information for longer where required by law, safeguarding needs or an actual or anticipated legal claim. We may delete or anonymise information sooner when it is no longer needed.

10. Marketing and communication choices

You can unsubscribe from marketing emails using the link in the message. You can opt out of text messages using the instructions provided in the message, and you can ask us to stop marketing by emailing [email protected].

Opting out of marketing does not prevent us from sending necessary messages about an appointment, purchase, account or tuition service.

11. Automated processing and diagnostic tools

Some Mathinar assessments may automatically calculate a score or generate educational feedback. These outputs are intended to provide learning guidance. We do not use solely automated processing to make decisions that have legal or similarly significant effects on a student or parent.

12. Security

We use reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure. Access is limited to people and providers who need the information for legitimate business purposes. No internet or storage system can be guaranteed to be completely secure.

13. Your data-protection rights

Depending on the circumstances, you may have the right to:

  • Ask for access to personal information.

  • Ask us to correct inaccurate or incomplete information.

  • Ask us to delete information.

  • Ask us to restrict how information is used.

  • Object to processing based on legitimate interests or to direct marketing.

  • Ask for certain information in a portable format.

  • Withdraw consent at any time where processing relies on consent.

  • Complain to the Information Commissioner’s Office.
